January 2011 Update: The Chinese New Year Holidays are upon us and invitation letters will be issued again starting February 18th. If you have registered and requested a letter, you should expect it by the end of February.

General Information

Most people from outside of China will need a visa to attend CSCW 2011. Check your institution, local visa processing agency, or the Chinese Consulate/Embassy to determine the paperwork required for a visa. If you need an "invitation" letter to apply for a business visa, please email Stephen Hayne with your Passport number, Nationality, and planned travel dates in China. He will work with Zhejiang University to issue a letter of invitation.

In most cases, however, a letter from your home institution/organization will suffice. The letter generally needs to state that you are employed at that institution, the purpose of travel, the fact that the institution will cover all of your costs in China, and your proposed dates of travel. It should be on letterhead and signed by someone such as your Department Chair or supervisor.

We highly recommend that you consult a visa processing agency or the Chinese consulate near you for more details about the options and requirements for visas.

If a letter is requested from CSCW, within 2-6 weeks of completing your conference registration, a visa letter will be generated and sent to you by Zhejiang University (Hangzhou) at the email address you supplied. It is then your responsibility to apply for and have a visa issued.

We recommend allowing 3-4 weeks to get your visa once you have the letter and appropriate paperwork, although it may be possible to expedite the process.
